Overview
This article walks you through how to set up education-based roles in Motivity Practice Management (PM) so that your organization can bill at the correct pay rates based on a provider's education level. Some payers reimburse at different rates depending on a provider's credentials, and Motivity makes it straightforward to configure this accurately and compliantly.
Setting this up correctly ensures your billing reflects the right rates for each provider — protecting your organization from compliance issues and making sure you're reimbursed appropriately.
Step 1: Set Up Job Titles and Designations
Navigate to the Admin module and open Role & Clearance.
Add the job titles and designations associated with each education level.
For example, BT-specific education designations might include:
Step 2: Create Roles for Each Designation
Once your job titles/designations are added, create the corresponding roles associated with each one.
Step 3: Configure Rates and Modifiers in Your Contract
Navigate to your specific contract's Rate & Modifier configuration.
For each education-based role, add the following within the billing codes they are permitted to use:
Rate — The reimbursement rate for that education level
Modifiers — Any applicable billing modifiers
Places of Service — Where services are rendered (e.g., home, clinic, school)
Day/Time of Service — Any applicable day or time parameters
Step 4: Assign the Education-Based Role to the Provider
Navigate to the provider's profile.
Assign the appropriate education-based role to them.
Note: Providers can have multiple roles assigned to them. In the example below, Summer has a primary role of RBT and a secondary role of BT – Bachelor's Degree. This is indicated by marking one Office as a primary location and the other as a secondary location.
This allows Motivity to apply the correct billing rate based on the role used for each session.
Based on how the Role & Clearance is configured, the provider will need the appropriate documentation on file to bill compliantly as in the example below.
