Managing Provider Weekly Desired Hours

Learn how to set and manage weekly desired hours for providers in Motivity PM using effective-dated records that support accurate scheduling and reporting over time.

This article walks you through how to set and manage weekly desired hours for providers in Motivity PM. The Provider Desired Hours (Weekly) section allows authorized users to log and track how many hours per week a provider wants to work, stored as effective-dated records that support accurate scheduling and reporting over time.


Navigating to Provider Desired Hours

To access this section, navigate to Provider Profile → Provider Desired Hours (Weekly).

This section is displayed above the LOA section in the Provider Profile.


Managing Desired Hours Records

You can add, edit, or delete Desired Hours records directly within this section. Each record includes the number of desired hours per week along with an effective start and end date, giving you a full history of changes over time.

To add or update a record:

  1. Navigate to Provider Profile → Provider Desired Hours (Weekly)

  2. Click Add to create a new record, or select an existing record to Edit or Delete

  3. Enter the desired number of hours per week

  4. Set the Effective Start Date — this must be a Sunday

  5. Optionally, set an Effective End Date — if provided, this must be a Saturday

  6. Save your changes


Important Rules to Keep in Mind

Effective Dates

  • The Effective Start Date is required and must always fall on a Sunday

  • The Effective End Date is optional, but must fall on a Saturday (if provided)

  • Overlapping effective date periods are not allowed — if a conflict is detected, you'll see the message: "Overlapping period not allowed."

  • Mid-week changes are not supported. If a provider's desired hours change mid-week, the new record must begin on the next valid Sunday

Historical Records

  • Each time a new Desired Hours value is entered, a new effective-dated record is created rather than overwriting the existing one

  • All historical records are preserved and can be viewed by scrolling through the section

  • Changes to Desired Hours and effective dates are tracked in the provider's timeline history

Reporting

  • Reports automatically use the Desired Hours value that applies to the selected reporting period, ensuring accuracy whether you're looking at historical data or planning ahead


Viewing Desired Hours Progress in the Scheduler

Once a provider's Desired Weekly Hours are configured, schedulers can track their progress directly within the Scheduler.

Where the Status Bar Appears

The Desired Weekly Hours status bar is visible across all major scheduling views:

  • Every provider panel in the Scheduler (Patient Scheduler Side Panel and All Provider View)

  • The Appointment Details screen, displayed below the Provider field

  • The Consumption Summary → Weekly Summary pop-up under "Desired Hours Status"

Understanding the Color Coding

The status bar uses color to give schedulers an at-a-glance view of each provider's utilization for the selected week:

  • 🟢 Green — Provider is at 90% or above of their Desired Weekly Hours target

  • 🟠 Orange — Provider is between 70% and 89.99% of their target

  • 🔴 Red — Provider is below 70% of their target

The status bar calculates utilization based on the provider's Desired Weekly Hours target compared to their billable and non-billable scheduled and rendered hours for the selected week. It updates instantly when appointments are scheduled, edited, cancelled, or changed in duration or status.

Tip: Hover over any status bar to see the exact figures, for example: "Weekly Desired Hours: 2 hrs / 20 hrs."

Filtering by Desired Hours

A Provider Below Desired Hours toggle filter is available in the Scheduler Side Panel, located below Show Office Locations. This filter defaults to OFF. When enabled, it shows only providers who are below 70% utilization (Red status) and works alongside all existing filters such as Office Location, Provider Role, Service, and Region.

Note: Providers without a configured Desired Weekly Hours target will display a grey status bar with hover text reading "No Desired Hours entered." These providers are excluded when the Provider Below Desired Hours filter is enabled.
