Save & Reuse Provider Signature for Session Rendering

Providers can now save their electronic signature once and reuse it when rendering sessions, instead of drawing it every time — with consent, identity confirmation, and a full audit trail built in.

This article walks you through the new Saved Signature feature, which lets providers save their electronic signature once and reuse it when rendering sessions, instead of drawing it every time. You'll learn how to create, manage, and use your saved signature, as well as how consent, identity confirmation, and audit logging work behind the scenes. Whether you're a provider setting this up for the first time or an admin curious about what you can see, this guide has you covered.

Note: This feature is available in Motivity Practice Management (PM) only. Saving a signature here does not save or carry it over into Motivity Clinical — the two are separate, so if you also sign in Clinical, you'll continue to do that the way you always have.


Why This Matters

If you're rendering several sessions a day, drawing your signature over and over adds up. With a saved signature, you can capture it once and apply it whenever you render a session — while Motivity keeps a full record of consent and use, so nothing about accountability or auditability is lost along the way.


Setting Up Your Saved Signature

Your saved signature lives on your own Provider Portal profile, and only you can create, manage, or use it — no one else can sign on your behalf.

To add a saved signature:

  1. Open your Provider Portal profile and go to Basic Information → Saved Signature. If you haven't created one yet, you'll see "No signature saved" along with an Add Signature option.

  2. Select Add Signature.

  3. Choose a signature type:

    • Type Name — a stylized font version of your name

    • Draw — sign by hand, just like you would on a session note

    • Upload Image — upload an image of your signature

  4. Your legal name will already be filled in for you (pulled from your profile as read-only), so there's nothing to type there.

  5. Check both consent checkboxes to confirm you're authorizing this signature for use.

  6. Select Save.

Once saved, you'll see your legal name, the signature type you chose, and the date it was last saved.

Note: You can only have one saved signature at a time. If you'd like to change it later, use Update to replace it — see "Managing Your Signature" below.


Using Your Signature When Rendering a Session

Once you have an Active saved signature, you'll see a new option the next time you render or start an appointment in MPM.

To use your saved signature:

  1. During the Render or Start Appointment process, you'll see a "Use Signature on File" option alongside the existing manual Draw option.

  2. Select Use Signature on File.

  3. Check the attestation box to confirm the signature is yours and this session is ready to be signed.

  4. Select Render.

That's it — your saved signature is applied, and the session is rendered.

If something goes wrong: If your saved signature can't be retrieved for any reason, you'll see a clear error message along with a one-click option to fall back to drawing your signature manually. Either way, rendering is never blocked — you'll always be able to complete the session.


Managing Your Signature

You're in full control of your saved signature at any time from Basic Information → Saved Signature.

  • Update — Replaces your current saved signature with a new one. You'll go through the same steps as adding a signature the first time.

  • Delete — Available only if your signature has never been used to render a session. Once it's been used at least once, Delete is replaced by an Active/Inactive toggle instead (see below).

  • Active/Inactive Toggle — Once your signature has been used, you can inactivate it to hide it from the rendering flow without affecting any sessions you've already signed. You can reactivate it at any time.

Note: Inactivating your signature doesn't undo or change anything about sessions already signed with it — it only controls whether it's offered as an option going forward.


What Admins Can See

Admins can view a read-only summary of a provider's signature status on that provider's profile, including:

  • Legal name

  • Active/Inactive status

  • Last-saved date

Admins cannot view the signature mark itself, and there are no admin controls to create, edit, or use a provider's signature on their behalf. This keeps your signature fully under your own control while still giving your organization visibility into whether it's set up and active.


Audit Trail

Every action taken on a saved signature is automatically logged, so there's always a clear record of what happened and when. This includes:

  • Saving a new signature

  • Updating a signature

  • Deleting a signature

  • Inactivating or reactivating a signature

  • Using a signature to render a session

Each log entry includes the provider, the action taken, the timestamp, the device/IP it was performed from, and confirmation of the attestation. You can find this history in both the Provider Profile Timeline and the Appointment Timeline (for signature use specifically).


Frequently Asked Questions

Can someone else use or manage my saved signature?
No. Only you, as the authenticated provider, can view, manage, or use your own saved signature.

What happens if I try to render a session but my signature can't be retrieved?
You'll see an error message and a one-click option to draw your signature manually instead. Rendering will never be blocked because of a signature retrieval issue.

If I inactivate my signature, does that affect sessions I already signed?
No. Inactivating only affects whether the signature is offered as an option for future sessions — it doesn't change anything about sessions you've already rendered and signed.

Can I have more than one saved signature?
No, you can only have one saved signature at a time. If you'd like to change it, use Update to replace your current signature with a new one.
