AIO - Creating a Patient or Learner
This article explains how Learner profiles are created and managed between the Motivity Practice Management (PM) and Motivity Clinical (CL) modules.
Creating a Learner
- No Manual Re-entry Needed: Once a patient profile is created in PM, it is automatically sent over to Clinical — no manual steps are needed to push the data.
- Profile Data: While most core information is transferred, not all patient profile fields from PM will populate the Learner profile in the Clinical module upon creation.
- You can still update any missing fields directly in Clinical, provided your user account has the necessary permissions.
- Add Learner Button Removed from Clinical: In organizations with PM and Clinical connected, the +Learner button has been removed from the Clinical module. This ensures that PM remains the single source of truth for all Learner profiles, maintaining data consistency.

Creating Non-Client/Non-Patient Learner Types
If your organization needs to create profiles for individuals who are not active patients but require a Learner profile in Clinical (such as staff learners, parent learners, or test learners), you must use the following workflow:- Create a Patient in PM: All profiles must first be created as a patient in PM to trigger the automatic connection to the Clinical module.
- Required Patient Details: When creating the patient in PM, you must enter the following required information:
- First Name
- Last Name
- Date of Birth
- Gender
- Location
- Start Date

- Automatic Connection: Once these details are saved in PM, the profile will be automatically created as a Learner in Clinical with a Patient learner type.
- Update Learner Type: Once the new profile appears in CL, you can change the Learner Type to the appropriate option (e.g., "Staff Learner," "Test Learner") to designate its specific use.
