Introduction

The Collections Module in Motivity is a vital part of managing the financial workflow in any healthcare practice, as it allows users to efficiently handle all payments and financial transactions related to patient care. It provides a comprehensive solution for posting payments, reconciling invoices, handling secondary claims, and managing patient responsibilities. The module seamlessly integrates with Motivity’s billing and claims management system to ensure that all payments are properly recorded and allocated to the appropriate invoices.

The Collections Module is designed to handle payments from various sources such as insurance claims (both primary and secondary), school districts, Medicaid, and patient payments. It also supports multiple payment methods, such as manual payments, payments received electronically through EDI 835 files, and payments processed through Stripe for patient responsibilities. The module’s powerful features allow for flexible payment application and adjustments, ensuring that accounts receivable (AR) is managed efficiently.

Scope and Purpose

This guide provides detailed instructions for users from the Revenue Cycle Management (RCM) or Collections departments who will be managing payments, applying them against invoices, adjusting amounts, and handling denials, copays, coinsurance, deductibles, and write-offs. 

 

Process Overview

  • Adding and managing payments from multiple payors and payment methods.
  • Posting payments against invoices generated in the billing module.
  • Handling secondary claims, patient responsibility, and payment adjustments.
  • Managing denial codes and resubmissions for rejected claims.
  • Generating patient responsibility invoices and sending them to caregivers.
  • Closing payments and invoices once they are fully reconciled.

Users access the Collections Module by hovering over the Motivity icon in the top-left corner and selecting the Collections menu.
