Overview

The platform provides a streamlined, secure way to email financial statements directly to patients. This functionality is available to all users, regardless of whether an online payment portal (like Stripe) is active, ensuring that every patient can receive their billing information digitally and securely.


How to Send an Email

  • Navigate to Billing

  • Select Posted Invoices and choose an invoice.

  • Select the Print/Email button at the top of the page

  • Select "Email Patient Responsibility Statement" from the list found in the popup and push "Okay".

  • This will send a password-protected statement to the email address found in the patient's profile.
  • You will see a preview of the email in a separate tab.

  • Universal Access: You can email statements to any patient in your system, with no requirement for integrated payment processing.

  • HIPAA-Compliant Security: Every emailed statement is delivered as a password-protected PDF, ensuring that sensitive financial and protected health information (PHI) remains secure.

  • Intelligent Formatting: The system automatically adjusts the email content based on your account configuration:

    • With Integrated Payments (Stripe): The email includes a secure "Pay Now" link, allowing patients to settle their balances immediately online.

    • Without Integrated Payments: The system sends a secure, detailed statement without the payment link, serving as a formal digital invoice.
