Overview
This article explains what the "Missing Rates" error means, how to read it, and how to resolve it step by step. You'll learn how to treat the error message as a checklist, walk through the most common causes, and explore additional troubleshooting options if the issue persists. With a little detective work, this error is straightforward to resolve!
Why This Matters
The "Missing Rates" error can block your team from billing correctly, so it's important to address it quickly and accurately. Rather than guessing what's wrong, the error message itself tells you exactly what to look for — you just need to know how to read it. This guide will walk you through that process so you can get back on track with confidence.
Understanding the Error Message
When you see a Missing Rates error, it will look something like this:
"Missing rate of Weekend for the service item Program Modification for the role BCBA at Clinic on Ventura Office for the appointment date 4/3/2026."
Each piece of this message maps directly to a setting in your contract's Rates and Modifiers tab. Think of it as the system telling you exactly what it couldn't find — and where to go look.
Step 1: Use the Error as a Checklist
Navigate to the contract's Rates and Modifiers tab and check for each of the following:
- Day/Time of Service — Is the day type listed (e.g., Weekend) included?
- Service Item — Is the service listed in the Rates and Modifiers tab (e.g., Program Modification)?
- Role — Is the provider's role listed under the Role field (e.g., BCBA)?
- Place of Service — Is the location type listed (e.g., Clinic)?
If any of these items is missing, add the missing information to the rate, save, and regenerate the batch. In many cases, this will resolve the error right away.
Step 2: Additional Troubleshooting
If all four items above are already present in the rate and the error persists, work through the following:
- Verify CPT code mapping — If the patient has secondary insurance, review the CPT mapping in the Funding Source tab using the CPT Code link to make sure the correct codes are mapped
- Confirm service inventory setup — Review the service inventory in the Admin module to ensure it is configured correctly
- Check provider role and credentials — Confirm that the provider's role and credentials in the Admin module match the credentialing requirements set in the contract
- Verify active dates — Ensure the provider's hire date and the contract start date are both active and fall before the date of service listed in the error
Special Case: No Role Listed in the Error
If the error message is missing the provider's role entirely, like this:
"Missing rate of Weekend for the service item Program Modification for the role at Clinic on Ventura Office for the appointment date 4/3/2026."
This is a signal that the provider and patient do not share an office location. To resolve this:
- Navigate to the provider's Employment Info tab
- Review the locations currently assigned to the provider
- If the patient's office is missing, add it as a secondary location for the provider
