Adding a New Appointment
After selecting a patient, click on this ‘Add Appointment button’.
Selection of work authorization
To add an appointment, you require an active work authorization set up in the patient's profile.
Selecting a work authorization will show you more details of the work authorization.

Selection of Appointment Type
You can select the applicable appointment type.
Billing
Appointment type selection does not affect billing. Billing is done based on the work authorization selection.
Cost
Cost of all the rendered appointments is derived from the employee compensation data added in the provider module.
Important Note: Travel and Supervisor Travel appointment’s cost is derived based on the data entered in the travel and supervisor travel compensation data provider module.
Selection of Location
By default, following two types of locations are shown in this dropdown-
- Home: Patient’s home address
- Clinic: Service location assigned to the Patient (Organization’s service location, added from admin)
You can add more locations as needed by clicking in the “add” icon in front of this field. The address added here will be applicable only for the selected patient.
Note: Adding a detailed address will help in deriving relatively accurate drive time.
Primary address
You can flag the primary address by checking the box for it to appear at the top of your list of locations for this patient.
Providers
On the section of the work authorization the list of providers assigned providers appear automatically. You can drag and drop the provider in the calendar to schedule an appointment. By default, a one-hour session is created, which can be edited by clicking on the appointment.
Seeing all providers
Turning this switch off will show you a list of all eligible providers. This will include providers who are not currently assigned to the selected work authorization.
The eligibility of a provider depends on following criteria-
- Provider should be associated with the service location where the patient is assigned.
- Provider should meet all the compliance/Enrollment requirements of the selected contract/funding source for their role (if the requirements are set in the contract)
- Provider should be in network if the contract requires them to be enrolled for their role.
- Provider should be active
Scheduling a provider who is not assigned to a work authorization
If you schedule a session with a provider who is not assigned to the work authorization, then this new provider will be automatically assigned to the selected work authorization. You will see the “Assigned provider’ list updated on this scheduler page as well as in the patient profile in Patient module.
Matching preferences
Turning this switch on will filter your list of providers to show only the providers who match the patient's preference.
Recurring Appointments
Check this box before dragging and dropping provider in the calendar to schedule recurring appointments
On dropping provider in the calendar, you will be asked if you want to create recurring appointments until the end date of the work auth or to consume all available hours.
Schedule recurring appointments to consume all work auth hours
This option will schedule weekly recurring appointments until all work auth hours are consumed.
Schedule recurring appointments Until last date of the work auth hours
This option will schedule weekly recurring appointments until the end date of the work auth.
Adding an appointment
To create an appointment, drag and select the time where you want to add an appointment.
Creating an appointment
To create an appointment, drag and select the time where you want to add an appointment. If you do not select the patient or their work authorization, or appointment type or location then the system will show you a popup requesting more inputs. Where you can select a new appointment to add missing appointment details.
Seeing overlapping availability
Selecting a patient will show you the overlapping availability of the patient and the provider.
Add Nonbillable Appointments
There are two options for adding nonbillable appointments:
Option 1: Link the Nonbillable Appointment with a Patient
Navigate to Scheduler > Provider option > select the Provider.
Click the Add Appointment button.
From the Type dropdown, select the Nonbillable option.
Then select: Authorization > Appointment Type > Location > Travel
Select the time on the calendar.
For recurring sessions, check the Recurring checkbox.
Option 2: Add a Nonbillable Appointment Without Linking It to a Patient
Navigate to Scheduler > Provider option > select the Provider.
Click the Add Appointment button.
From the Type dropdown, select the Nonbillable option.
In the Patients dropdown, select your Office Name (usually prefixed with "NA" and then your location name).
Then select: Authorization > Appointment Type > Location > Travel
Select the time on the calendar.
For recurring sessions, check the Recurring checkbox.
