How to Transfer Appointments to a New Authorization

This feature lets you smoothly move a patient’s appointments from an old authorization to a new one when their insurance changes, no manual rescheduling required!. As long as the new authorization is active on the patient’s profile, you can transfer everything in a few quick clicks. This is a tiny workflow that prevents a whole lot of headaches.

Overview

When a patient switches insurance companies, you may need to move some of their scheduled appointments from the old authorization to a new one. This feature helps you avoid manual rescheduling and keeps billing clean and compliant. Properly transferring these appointments ensures the patient’s services continue smoothly and prevents denied claims.


Prerequisites

You must have an active new authorization already added to the patient’s profile before you begin the transfer. Without it, the system won’t allow you to move the schedule over.


Transfer Appointments to a New Authorization

  1. Confirm the new authorization is active on the patient’s profile.

  2. Select the Admin module

  3. Select "Appointments Transfer"
  4. Select the Office Location where the patient receives services from the Office Location dropdown.

  5. Choose the Patient from the dropdown.

  6. Select the Authorization you want to transfer from.

  7. Enter the Start Date for the transfer period.

  8. Enter the End Date for the transfer period.

  9. Choose the appointment(s) you would like to transfer.

  10. Click Transfer.

  11. A pop up will appear with all available authorizations.

  12. Upon selecting the new auth, Motivity will ask if you are sure you would like to transfer the appointments.
  13. Select "Proceed".
  14. Motivity will then presenta pop-up with a list of successfully transfered appointments.
