What are the View Notes permission settings and what do they do?
The View Notes permission is a powerful tool that allows administrators to control which notes are visible to different user roles. This helps ensure that each team member has access to the information they need while maintaining privacy and organization across the platform.
Below is an overview of the available settings for this permission:
View Notes:
Grants the ability to view notes on a learner's timeline.
-
Only Own Notes:
Members can view only the notes they have personally created. -
Anyone’s Notes:
Members can view all notes created by any user. -
Only Specific Types:
Allows administrators to specify which types of notes members can view, based on assigned note labels. Select the pencil icon to add note types. Any note types not included will not be visible to this role in the learner’s timeline. -
Only Specific States:
Allows administrators to control which note states members can view. The available states include Unsigned, Awaiting Approval, Revision Requested, and Completed/Approved.
Case example:
How can I set caregiver note permissions so they can see every type of note for their child, but only after the notes have been completed, signed, and approved?
