Delete and Edit Past Data

This article reviews how to go into a past, closed session and edit and/or delete data. 

Permissions

The ability to edit and delete past session data is powerful permission so only owners have the permission by default. To give other roles permission, you will need to manually change a role's permission to enable revising past data. 

Editing Data

To edit the data, go to the session and click on the Edit icon to toggle on the edit feature. You know that it's on when you see the white dot next to the edit icon (see image below). Then scroll down to the program and target that needs to be edited and click on the target. You will see a pencil edit icon. Click on the pencil icon and edit the data. Click out of the window and it will save. 

Deleting a data point or opportunity is done in much of the same way as editing. go to the session and click on the Edit icon to toggle on the edit feature. You know that it's on when you see the white dot next to the edit icon (see image below). Then scroll down to the program and target that needs to be edited and click on the target. You will see a trash can icon. Click the icon and delete the opportunity. 

Adding new opportunities to past session

To add new opportunities to a target, click on the + icon under the target data and fill out the data field.

To add data to an unexercised target (a target with no data collection done at all), click on Edit Data at the top right to toggle the edit feature. Then click on + Add Unexercised Target /Phase and choose the program, target, and phase to add data to. Watch the video below for a walkthrough of adding data to a session. 

Adding Zero Occurrence Data to Past Sessions. 

Sometimes users misassign 0 data as "Not Tracked" when ending a session. When targets are "Not Tracked", it will look like there was no data that day instead of the behavior showing 0 occurrences. 

You can use the Edit Past Data Feature to fix the data and graphs in the past that have no data instead of 0 occurrences. 

How editing data affects different parts of the system:

Transitions and Mastery Criteria

The edited data will have no effect on mastery criteria or transition criteria. For example, if a target failed and did not trigger a transition but then the target data was edited to succeed, the target will not automatically transition with the edited data. Automatic transitions will trigger with the next successful session outcome or you can manually transition the target. 

Graphs

The edited data will change the outcome displayed in the session summary and in the graphs as soon as the data is edited or deleted. 

Session Notes

The edited data will only affect unsigned session notes. If a session note is signed then the data displayed is frozen and won't change unless it's unsigned.
