Step 1: Create a Parent Role and Invite the Parent
Before sending an invitation to the Parent or Caregiver, you'll need to create a Parent/Caregiver role and configure the appropriate permissions. When configuring the role, make sure permissions are limited so that caregivers can only view or collect data for the learners they are directly assigned to. This protects the privacy of all other learners in your system.
See this article for guidance on how to create roles and set permissions.
Below are the recommended permissions for a parent role (if you'd like parents to collect data):
You can invite parents to set up a Motivity account by:
Selecting Members -> +Member
Select the option "Invite using an email address"
Enter the email address on the text line
Select the Parent/Caregiver role from the "Roles to Assign" drop down
Select the "Invite" button
Step 2: Assign the Parent to the Learner's Team
Once the parent role is created, assign the parent or caregiver to the appropriate learner's team.
See this article for step-by-step guidance: Assigning members to learner teams.
Step 3: Set Up Parent Data Collection (Optional)
If you'd like parents to collect data, follow these steps:
Create a program for parents to use. We recommend adding a "Parent" label to these programs so they're easy to identify and filter.
Set the session type for each phase and target to "Parent #daily #playlist" while setting up your targets and phases in the program editor.
Important: The session type you enter in the program editor must exactly match the session type name permitted in your roles and permissions settings. Even small differences in spelling or formatting will prevent this from working correctly.
Here's what each part of the session type does:
#playlist — Limits visibility of this target to parents only (or other roles you've specifically permitted), keeping the parent experience focused and uncluttered.
#daily — Allows parents to log data throughout the day without needing to start a formal session, making data collection simple and flexible for busy caregivers.
Tip: To make data collection as easy as possible, you can send parents a link to their daily session data page. Simply navigate to the Collect Data tab for the caregiver's learner, then copy and paste the URL into a text or email. When they receive it, they can tap or click the link and go straight to the data collection interface — no need to navigate through Motivity at all.
