Navigating the Denials Module

Overview of the Denials Management Module in Motivity.

The Denials Management Module in Motivity provides a dedicated platform for efficiently managing claim denials from payers. Denials can occur when payers reject all or part of a claim due to discrepancies in the data or failure to meet certain requirements β€” these may involve issues with authorizations, patient eligibility, coding errors, or missing information. This module helps manage the process of correcting claims and resubmitting them, ensuring that denied claims are tracked and resolved efficiently.

The Denials Management Module is designed for practices that post payments, and where coordination across teams is required to resubmit claims accurately and promptly.


Process Overview

  • Identifying denials from funders

  • Classifying denials into specific categories (e.g., authorization denials, coding denials)

  • Correcting the necessary information

  • Resubmitting claims to the payer for payment

  • Tracking denial workflows and assigning tasks to relevant team members

This module integrates seamlessly with the existing billing and collections features in Motivity and provides visibility into each claim's denial status and progress.


Accessing the Denials Module

To access the Denials Module, hover over the black M icon and select Collections. You'll see two options:

  1. Payment Posting β€” Where payments are received and posted to claims

  2. Denials β€” Where denied claims are managed and resubmitted

πŸ’‘ Tip: You can also identify a denied invoice directly from the Payment Posting page by opening the black hamburger icon on a payment row and checking the noted status.


Navigating the Denials Page

Denial Category Tiles

At the top of the Denials page, you'll see tiles representing different denial categories. Each tile displays:

  • Denial Category β€” The type of denial (e.g., Authorization Denials, Coding Denials)

  • Monetary Amount Affected β€” The total dollar amount denied for that category

Clicking on a tile filters the list below to show only claims in that category, allowing your team to focus on specific denial types.

Denials List

Below the tiles, you'll see a list of all denied claims. By default, the module displays all payments affected by a denial. Each row displays key details including:

  • Funding Source β€” Name and ID of the funding source

  • Patient β€” Name, ID, office, and primary or secondary funding source

  • Claims β€” Invoice number, claim ID, service dates, billed amount, contracted amount, applied amount, pending amount, and covered amount

  • Denial Information β€” The EOB date, age of the denial, and workflow status and steps taken

Patients with no open claims or funding sources with no patients are automatically removed from this list.


Search, Filters, and the Watch List

Search

Use the search bar at the top of the screen to quickly locate specific claims by:

  • Payor name

  • Payment number

  • Patient name

  • Invoice number

  • Motivity Claim ID

Filters

You can narrow the denials list using the following filters:

  • Funding Source Type

  • Funding Source

  • Office

  • Patient

  • Assigned To

  • Denial Category

  • Workflow Type

  • Workflow Step

You can also apply a date range filter to focus on denied payments within a specific timeframe.

Watch List

The Watch List allows billing teams to flag specific payments or claims that need additional monitoring or follow-up. To add a claim to the Watch List, select the star icon on the individual claim line.


Sort Options

You can organize denials based on:

  • Denial Age β€” How long the claim has been denied, based on the EOB date

  • Patient Name β€” Sort within funding sources to display the oldest denials first or organize patients alphabetically

  • Other general sorting categories β€” Additional sorting options are available to help your team organize the denials list based on your workflow preferences
