This article walks you through how to add provider credentials directly to session notes in Motivity Clinical. By connecting your Practice Management (PM) credentialing data to Clinical, you can ensure your documentation is both professional and audit-ready — all with minimal manual effort.
Step 1: Enable the Credential Sync in Practice Management
Your administrators control which credentials sync over to Clinical by mapping them in Practice Management. This ensures only the credentials relevant to your clinical documentation are included.
In Motivity PM, navigate to Admin > Credentialing Categories.
Click on the name of the credential you want to update.
(Optional) Define an Alias: To keep clinical documents clean and concise, enter an abbreviation (e.g., BCBA) in the Alias field. If left blank, the full billing name (e.g., Board Certified Behavior Analyst) will be used instead.
Toggle Sync to "Yes" and click Save.
Once saved, the system will automatically and retroactively push the mapped credentials — along with their effective start and end dates — directly to the provider's clinical profile, as long as the credential exists in the provider's PM record.
Step 2: Add Required Credentials to Note Templates in Clinical
Once the sync is enabled in PM, you're ready to update your Note or Report templates in Clinical to dynamically pull in that credential data.
In Motivity Clinical, open the Note or Report template you'd like to update.
Add the new field by selecting: Imported Fields > Note Fields > Note Author's Required Credentials.
Enter a custom title for the field (this is what will display on the note).
Select your preferred date matching logic:
All Time: Displays all synced credentials regardless of their dates or status. This is useful if you ever need to pull expired credentials into a note for historical reference.
Note Timeframe: Dynamically displays only the credentials that were active during the specific timeframe of that note or report. This is the recommended option for most compliance use cases.
(Optional) Check the Export box if you'd like these credentials included in your Note Data Exports.
Click Update to save your template changes.
That's it! Once both steps are complete, your providers' required credentials will automatically populate inside their clinical notes based on the dates of service.
Understanding the Two Credential Fields
To give you maximum flexibility, Motivity Clinical uses two distinct credential fields — each serving a specific purpose in your documentation.
Signing Credentials (formerly "Credentials")
This field is designed to keep your signature lines clean and professional. It controls which credentials appear immediately after a provider's name when they sign a document (e.g., Jane Smith, BCBA). These remain fully editable within Clinical for users with Member Profile editing permissions.
Required Credentials (New Sync Field)
This new field is built for strict payor compliance and audit-readiness. It captures multiple credentials along with their effective start and end dates, pulled directly from Practice Management.
For AIO Customers: To eliminate compliance risks and data mismatches, the synced Required Credentials fields are automatically locked for editing within Clinical, ensuring your PM billing data remains the single source of truth.
By separating these two fields, you get the best of both worlds: clean, professional signature blocks and comprehensive compliance tracking — all in one place.
