Note Types

In Motivity, there are three ways to classify notes: session notes, general notes, or progress reports.

Session Notes

The first type, session notes, are notes that document services provided to a learner. Some examples would be 97153 direct ABA session notes and 97155 supervision session notes. Anything billable should be considered a session note, as it provides documentation that a service occurred.

To ensure that a note type is classified as a session note, navigate to the note templates and find the template that you want to mark as a session note.

Open the template and go to the left panel, where you will see "Note Timeframe" and "Note purpose." Ensure that the note timeframe is set to "Start and End Time" and that the checkbox next to "This note documents a session" is checked.

General notes

In Motivity, general notes can be any other documentation that is NOT a session note or progress report. Some examples include intake paperwork, accident/injurt reports, restraint reports, toileting logs, and IOA logs.

To properly classify a note as a general note, proceed to the note templates and select the appropriate template that you wish to designate as a general note.

Open the template and go to the left panel, where you will see "Note Timeframe" and "Note Purpose." Ensure that the note timeframe is set to "Start and End Time" and that the checkbox next to "This note documents a session" is NOT checked.
Note: general notes can not be used as session documentation, so these types of notes cannot be linked to a session.

Progress Reports:

In Motivity, progress reports are used for any type of documentation that reports on a learner's progress. The distinguishing factor for these types of notes is that they will have a start and end date, and can automatically import data across a date range. Some examples of progress reports are monthly or quarterly reports, mastered targets lists, discharge reports, and 6-month reauthorization reports.

To properly classify a note as a progress report, proceed to the note templates and select the appropriate template that you wish to designate as a progress report.

Open the template and go to the left panel, where you will see "Note Timeframe." Ensure that the note timeframe is set to "Start and End Date."

Once you have accurately classified all your templates as session notes, general notes, or progress reports, you will have the ability to filter by note type on the learner's timeline.
