Blocking Provider Time on the Scheduler

This article outlines how to block a provider's time on the scheduling tool. This feature may be used to indicate when a provider is unavailable, out-of-office, etc.

Steps to Block Provider Time

  1. Select the Provider
    Locate and select the specific provider whose schedule needs to be modified.

  2. Open the Provider's Schedule
    Navigate to the provider's scheduling view or calendar.

  3. Block the Desired Time
    Click on the desired date and drag and drop to select the required time duration that needs to be blocked. This action will prompt a new window or menu to appear.

  4. Select the Appropriate Option
    From the list of options presented (e.g., "Personal," "Sick," "Break," "Other"), select the option that best describes the reason for blocking the time. This selection will categorize the blocked appointment.

  5. Confirm the Block
    Review the details and confirm the creation of the blocked time slot.

Setting Up Recurring Block Time

Rather than adding block time one day at a time, you can set up a recurring block time schedule for a provider directly from the main calendar or via the Provider Block Time option in the three-dot menu in the Provider calendar view.

To set up recurring block time:

  1. Open the Provider calendar view

  2. Add block time via the three-dot menu → Provider Block Time or by clicking and dragging on the main calendar

  3. Select the block type (e.g., Personal, Sick, Break, Other)

  4. Check Recurring to reveal the additional scheduling fields

  5. Select the days of the week to repeat on using the Repeat On checkboxes

  6. Enter an End Date for the recurring series

  7. Review the confirmation line that summarizes the pattern (e.g., "Occurs every Tuesday, Wednesday, Thursday until [End Date]")

  8. Save to create the recurring block


Editing or Deleting a Blocked Appointment

If you need to make changes to a previously blocked time slot or remove it entirely, follow these steps:

Click on the blocked time in the schedule and select the "Edit" option. A window will appear allowing you to change the time, date, or reason for the block.

Delete

Click on the blocked time in the schedule and select the "Delete" or "Remove" option to simply delete the block.

Editing or Deleting a Recurring Block

When editing or deleting a recurring block time, you will be prompted to choose between:

  • All Future — Changes or removes this occurrence and all future instances in the series

  • Only This — Changes or removes only the selected occurrence, leaving the rest of the series intact

A confirmation message will summarize exactly what was deleted. Block time can be edited or deleted from either the main calendar or the Provider Block Time popup.
