Accessing the Patient Scheduler
To access the patient's schedule, follow these steps:
Hover over the Motivity icon located on the top left corner of the screen.
Click on the scheduler-Patient menu.
You will land on the scheduler page.
Select the service location.
Select the patient to view their calendar.
After selection of the menu, you land on the scheduler page. Select the service location and then the patient to view patient's calendar.
Adding or Editing General Availability
While viewing the patient's calendar on the scheduler page, you can manage their general availability:
Click the 3 dot (ellipsis) icon on the top right side of the patient scheduler view.
Then, click General Availability.
To add new availability, click anywhere in the week-view calendar.
You can set recurring availability or modify existing availability by clicking and dragging.
Selecting a Place of Service for Availability
When adding or editing a patient's availability, you can select a specific Place of Service location to associate with that availability window. Click on an availability entry to open the Select Place of Service popup, which displays all active POS locations associated with the patient. You can select multiple locations or choose All if the availability applies across all locations.
For recurring availability entries, clicking an existing record will give you the option to Edit or Delete. When editing, you can update the start and end time and adjust the Place of Service — the date itself is not editable. If the entry is part of a recurring series, you'll be prompted to choose whether the change applies to only that occurrence or all future occurrences.
💡 Tip: The availability hover tooltip on the Scheduler calendar displays both the POS Type and POS Name (e.g., "Place of Service: Clinic: Downtown Clinic") so you can quickly confirm which location is associated with a given availability window.
💡 Note: If a new POS is added or a new Office Location is assigned to the patient, it will automatically be tagged to future availability records. If a POS is deactivated, you'll see a confirmation prompt before it is removed from future availability records.
