This article explains how to access, search, and export the Availability Timeline Log for both patient and provider general availability. The Timeline Log provides a full history of all changes made to availability records, giving your organization a defensible audit trail for payor authorization disputes and provider contractual hour concerns.
Accessing the Timeline Log
The Timeline Log is available on both the Patient General Availability and Provider General Availability screens. To access it, click the Timeline icon in the top right corner of the General Availability screen. This opens a popup listing all historical activity in descending order by latest date and time.
What the Timeline Tracks
The Timeline Log records the following actions:
Created, Updated, and Deleted — for individual availability entries
Series Created, Series Updated, and Series Deleted — for recurring availability series, with one row generated per individual instance in the series
Each entry displays:
By — The user who made the change
Date/Time — When the change was made
Action — What was done (Created, Updated, or Deleted)
Availability ID — The unique identifier for the availability record
Old Value — The previous setting (blank for newly created entries)
New Value — The updated setting (blank for deleted entries)
For Patient Availability, values also include the Place of Service — capturing any POS tagging changes made through editing, POS deactivation, or availability migration.
Searching and Navigating the Timeline
Use the search field to filter by Availability ID or action type (Created, Updated, or Deleted) — search activates after 3 characters are entered
Adjust the page size to view 10 (default), 25, 50, or 100 records per page
The total record count and current page are displayed for easy navigation
Exporting the Timeline
Click the Download icon to export the full matching timeline log to Excel. The export respects any active search or filter criteria but is not limited to the current page — all matching records are included.
Files are named as follows:
Patient: Patient_General_Availability_Timeline_[PatientName][MMDDYYYY].xlsx
Provider: Provider_General_Availability_Timeline_[ProviderName]_[MMDDYYYY].xlsx
Exported columns include: Availability ID, Action Type, Changed By, Changed Date, Old Value, and New Value.
⚠️ Note: The Timeline is view-only. Tracking begins only for activity performed after deployment — no historical activity prior to this point is captured.
